Excel Mass Import

Upload an Excel file with use cases to your portfolio within a workspace.

Preparation

    1. Condition: You must be a moderator of a workspace to perform the mass import.
    2. Login: Login to your Casebase instance with your user account and select the workspace where you want to upload the use cases.
    3. Open Mass Import: In the header menu, click the “+” button and select “Mass Import”.

    4. Casebase Template: Download the current Casebase template for mass import that is displayed. This template contains the correct setup of your workspace (template and workflows).

    5. Prepare Excel File: Fill out the Excel file correctly. Specific information can be found in the Excel sheet Guide Data Schema.
      • Pay particular attention to using the values from the tool configuration for data fields such as “Maturity Level” or “Quality Gate”. These are listed for you in the “Data Schema Guide” so that you can copy and paste them.
      • Fields that allow multiple values to be entered can be separated by “semicolon + one space tab”.
      • Please make sure that you do not use the same title more than once.

    6. Data Validation and Saving: Check your data in the Excel file for errors and inconsistencies. Make sure that all required fields are filled in and the data is in the correct formats (e.g., dates, numbers, text). Save the Excel file.

Import Process

    1. Open Mass Import: If the mass import page is not already open, open it again (repeat step 3 of the preparation).
    2. Select File: Drag and drop the file into the import mask or select the prepared Excel file from your file browser.
    3. Start Import: Start the import process. Casebase will now import the data from your Excel file into the platform.
    4. Verification: After the import, check whether all use cases have been imported correctly. Pay attention to errors and missing data.

Troubleshooting

    1. Error Message: If the file could not be imported, you will receive an error message. This shows you in which area of the Excel file problems occurred due to incorrect values or other problems during import.
    2. Incorrect Data: If you find errors in the imported data, correct them in the Excel file according to the error message.
    3. Customer Support: For further problems, contact customer support.

Tips

    1. Import Only: This is a pure import of new use cases. Overwriting existing ones is not possible.
    2. No identical title: You have successfully uploaded an Excel but a use case is missing? This may be due to the fact that this title exists in the same form. Please make sure that you do not use the same title more than once.
    3. Format Problems: Make sure your Excel file has the correct format (XLSX).
    4. Authorization Problems: Check your permissions as a moderator. You may need additional permissions to perform the mass import.
    5. Documentation: Read the Casebase documentation or contact Casebase support if you have any questions or problems.
