WHY Casebase is now a mulit-tenant system?
The need for central consolidation is growing, but workflows and the necessary use case documentation cannot always be fully coordinated.
Our new workspace feature enables use case management in different departments, including different workflows and templates, but allows centralized administration and offers you comprehensive portfolio management in the future.
With the new workspace feature, you can create multiple workspaces within a single Casebase instance.
The workspaces can be managed separately, with their own workflows, templates and user administration. Individual rights can be managed via user roles. This means that different departments have different access rights, while administration is centralized (learn more about user rights here)
As a system administrator, you can change requirements across all workspaces in the company settings, manage user management centrally, have an overview of all workspaces and create governance structures. You can specify organization-wide “requirements”, but you don’t have to.
This allows you to map the diversity of your organization in one tool and assign a central location to different use case types such as AI use cases, data analytics use cases and digital transformation use cases.
WHAT? Workspaces!
Each user first goes to the workspace overview page and sees the workspaces to which he or she is assigned.
As an administrator, you also have access to the company settings.
In the company settings, you can create new workspaces under the “Workspaces” tab. A moderator must be assigned to each workspace. In addition to the administrator, this moderator has additional rights to manage the workspace.
The administrator has an overview of all workspaces in the company settings, including central user management and template design.
Fields and workflows can be customized in the template settings.
Everything that is created at company level is automatically transferred to the settings of the individual workspaces. This allows you to set organization-wide standards that must be adopted by all workspaces.
At workspace level, you can continue to customize your templates and workflows, e.g. create different lifecycle phases or design use case templates.
